Washington DC Trip Information

The National Independence Day Parade - July 4th, 2018

The Ronald Reagan High School Band of Raiders has been selected to represent North Carolina in the 2018 National Independence Day Parade in Washington, DC on July 4th, 2018.  We are very excited about this opportunity and hope that you can join us for this once in a lifetime experience.  Please use this page as a resource for information as we prepare for the trip.  We will host a parent meeting in the band room at Reagan High School on Monday night, December 18th at 6:30 pm.

General Information

Who Can Go:  Any student that has participated in the RHS Marching Band of Raiders in 2017 or will be participating in 2018 (current 8th grade students through current seniors).  In addition parents and guardians can attend as chaperones, however they will be subject to a background check, a WSFCS School Board Policy.
How Much Does It Cost:  The trip will be approximately $600 per person (based on quad occupancy).  This will include travel expenses, accommodations, meals (except while traveling to and from Pfafftown to Washington DC), entrance fees, and most gratuities.  See Payment Information below for more details​.
When:  The trip will be three days and two nights.  The band will leave on July 3rd and return on July 5th.  The parade is on July 4th and begins at 11:45am.
Where:  The band will stay in the Washington DC area in a three star hotel (Hampton Inn, Holiday Inn, or similar).  
Security:  The band will have a professional security guard at the motel during both nights.


Trip Cost and Payment Information

The cost of the trip will be approximately $600, however could change slightly depending on the total number of participants, as well as options on number of people per room.  

Payment Schedule:
January 16th, 2018: $150 Due (non-refundable)
February 16th, 2018: $150 Due
March 16th, 2018: $100 Due
April 16th: $100 Due
May 16th: Remaining Balance Due (Approximately $100 based on Quad Occupancy)*

*All Band Fees on Charms (including trip fees) must be paid in full to attend the trip.

Refund Schedule:
The initial $150 payment due in January is non-refundable.
$150 per person (non-refundable)..................Penalty Begins: January 16th, 2018
10% per person, of total tour costs.................Penalty Begins: February 16th, 2018
25% per person, of total tour costs.................Penalty Begins: March 16th, 2018
50% per person, of total tour costs.................Penalty Begins: April 16th, 2018
100% per person, of total tour costs...............Penalty Begins: May 16th, 2018 

Occupancy Options:
Triple Occupancy: Add $21 per person per trip.
Double Occupancy: Add $64 per person per trip.
Single Occupancy: Add $193 per person per trip.

The price of the trip is based on quad occupancy.  If rooms are not filled to capacity then the above listed fees will be added to the cost of the trip for the particular room.

Parade Arangements: All arrangements for the 4th of July Parade by the NIDP and a professional
team including hundreds of volunteers from the Washington, DC area.
Coach Transportation: Round-trip transportation by deluxe motorcoach from Pfafftown, NC based on afternoon arrival. Extended hours or overnight driving may incur additional charges for relief drivers.
Accommodations: Three star hotel accommodations, based on quad occupancy.  
Meals: Two meals per day plus one box lunch (as noted in the Tour itinerary) including breakfast and dinner. Please note that breakfast is not included on day of arrival and dinner is not included on day of departure.
Tour Managements: One full-time, professionally-licensed Tour Manager on each motorcoach who meets the group upon arrival and remains until departure to guide all excursions, maximize use of time, and enhance the educational value.
Entrance Fees: Entrances are included to all sights listed on the Tour itinerary.
T-Shirts: One souvenir NIDP T-shirt for each participant.
Photo Video: One souvenir photo video for each participant.
Gratuities: Tips and taxes are paid to Tour Managers and hotel personnel.
